Grievance policy

The IPhA is committed to providing a fair, transparent, and inclusive treatment for all its members. We acknowledge that our members may sometimes have concerns or grievances. This policy sets out the procedure for raising and resolving such concerns, ensuring that all members have a safe space to voice their grievances without fear of retaliation.

Scope:

This policy applies to all members of the IPhA and covers grievances related to:

  • Primary sources
  • Secondary sources
  • Aggressive communication
  • Scientific matters
  • Misleading information
  • Any other matters affecting the individual’s perceptions or perspectives

Procedure:

  1. Informal Resolution: Members are encouraged to resolve grievances informally wherever possible by discussing the matter directly with the individual(s) concerned or with someone belonging to the IPhA.
  2. Formal Grievance: If an informal resolution is not possible or appropriate, the member can submit a formal grievance. This should be done in writing to the President of the IPhA (visit our website and complete the form) , outlining:
    • The nature of the grievance
    • Relevant facts and dates
    • Any steps taken to resolve the issue informally
  3. Investigation: Once a formal grievance is received, the President of the IPhA will conduct a prompt and impartial investigation, gathering relevant information and meeting with the parties involved, or will appoint a member of the Leadership team as an investigator.
  4. Grievance Meeting (only if necessary): A formal grievance meeting will be arranged where the members can present their case. They are entitled to bring a colleague or representative to this meeting for support. In regard to the formal representatives of the IPhA, the President can invite up to two members from the Leadership Team of the IPhA.
  5. Outcome and Decision: After the investigation and Grievance Meeting, the member will receive a written response outlining the findings and any actions to be taken. This will be provided within a specified timeframe (e.g. as decided by the President or the members of the Grievance Meeting).
  6. Appeal: If the member of the IPhA is dissatisfied with the outcome, he/she may submit a written appeal after receiving the decision. The appeal will be reviewed this time by the entire Leadership Team, and a final decision will be made.

Confidentiality:

All grievance matters will be treated with the highest level of confidentiality, and information will only be shared with those directly involved in the process. All parties are expected to maintain discretion throughout the process.

No Retaliation:

The IPhA assures that no member will face retaliation for raising a legitimate grievance. Any form of retaliation will be subject to further action.

Review and Monitoring:

This policy will be reviewed annually or when required to ensure its effectiveness and relevance. All records of grievances will be securely maintained by the President and the VPs and monitored to ensure compliance with the policy.

Contact Information:

For any questions or to file a formal grievance, please contact the President of the IPhA at or on the phone by dialing 0033 771 63 42 66.
